Position Title: Tutor Operations Manager

Overview of the HELPS Program
The Tutor Operations Manager will be an integral staff member for a Charlotte-based project that utilizes the Helping Early Literacy Skills with Practice Strategies (HELPS) Program to advance elementary-aged students' literacy development. The HELPS Program is one of several programs offered by Helps Education Fund and is currently our most widely used program. Designed to assist educators with improving students' reading fluency and confidence as readers, HELPS has more than 10 years of research documenting its ability to improve students' foundational literacy skills. Although HELPS is used internationally, tutoring with this program has been growing within Charlotte Mecklenburg Schools (CMS) since 2018. Over the past three years we have continued to increase our impact within CMS, particularly within schools serving a high percentage of students with economic disadvantages. Our next Tutor Manager will work with our growing team so we can support even more CMS students with their reading development.
Overview of the Position
The HELPS Tutor Operations Manager will be a part of a team that works both cooperatively and independently to increase the impact of HELPS programming in the Charlotte area. This position will be responsible for recruiting, coordinating, and overseeing a network of Federal Work-Study (FWS) and community volunteer tutors. The position is responsible for stewarding volunteer recruitment, as well as overseeing volunteer retention, training, scheduling, data collection, and task management. The ideal candidate will have experience successfully recruiting and retaining volunteers, as well as experience with coordinating programs that utilize volunteers. The HELPS Tutor Manager will work closely with the Project Director and Tutor Director of our HELPS Programming in Charlotte.
All work with schools, tutors, and students will be done virtually until the end of this 20-21 school year. After the school year, pending CMS safety guidelines around COVID, there could be at least some in-person activity for some of our staff.
Overview of Main Duties:
- Manage portfolio of 300-350 tutors including volunteer tutors, paid tutors, and Federal Work Study tutors per year and ensure a strong retention rate of all tutors.
- Coordinate processes and maintain relationships with large volunteer tutor sources - corporations, churches, community organizations, and local colleges and universities.
- Co-develop and implement a tutor retention plan, celebrations, appreciations, and/or events.
- Manage scheduling and logistics of HELPS training sessions for tutors.
- Build strong systems and structures to support high-quality tutor involvement, including but not limited to online registration, tutor database and tracking, background check clearance, training attendance, and school orientation.
- Process and oversee the security of tutor applications; assign schools for all tutor applicants
- Maintain up-to-date tutor records, compile statistical data and create impact reports.
- Develop and maintain systems for reminders and communication for all tutors (e.g., holidays, special events, etc.).
- Gain knowledge and understanding of the HELPS literacy program and learn how to implement the program
- Become proficient in the HELPS One-on-One intervention with a goal of leading community and corporate trainings
The Ideal Candidate Will Have:
- Minimum 3-5 years of work experience in volunteerism or nonprofit administration.
- Ability to empower and motivate others.
- Strong people skills and relationship building.
- Demonstrated commitment to educational equity.
- Exceptional organizational abilities and attention to detail.
- Experience supervising or managing volunteers, staff, or a team.
- Compelling, authentic, and clear verbal and written communications skills.
- Ability to work independently, handling multiple tasks and completing them in a thorough, accurate and timely manner.
- Experience working with children and/or educators in school-based settings.
Bachelor's degree or equivalent education or experience. Three or more years of knowledge and experience in volunteer or staff management. Strong written and verbal communication skills. Technologically proficient in office technology systems including PowerPoint, Excel, MS Word, email, Google Drive, virtual meeting platforms (such as Zoom or Google Meet), and social media.

Although Helps Education Fund began in 2010 with only a small group of volunteers, we have grown to a diverse team of 20+ staff -- each of whom is passionate about improving educational equity through community engagement and authentic partnerships.
